- Work collaboratively with area and business group leadership to implement company policies
- Utilize established HDR systems (Pronto/Pulse/BI) to manage projects and streamline HDR processes
- Look for bottlenecks within the area and develop best practices that align with corporate guidance in procurement/contracts, financial tracking, staff planning and quality assurance
- Provide financial business support by proactively monitoring project dashboards and tracking project metrics
Identify problems and work with PM’s to proactively problem solve - Work with PM’s to develop cost effective change management
- Establish effective communication and collaborative relationships with all functional groups
- Clearly communicate processes and expectations from the team (PM’s, PC’s) to streamline workflow
- Communicate with transparency with PMs to foster growth and involvement
- Provide leadership, assistance and guidance to other employees and management in the interpretation, development, and application of policies, practices, and procedures
- Facilitate and provide oversight with project managers and coordinators to adjust working cost forecasts accurately
- Take responsibility for a wide variety of specialized project-related administrative and accounting functions
- Work independently to effectively manage complex project- and executive-level paper and electronic files, documents and records
- Compose and develop correspondence and reports
- Manage project insurance matters
- Apply company quality assurance guidelines and procedures, and independently monitor for quality assurance
- Answer questions regarding company policies, procedures and guidelines
- Organize and coordinate meetings, and assist with presentations
- Work with complex contracts and sub-agreements
- Track and monitor project budgets, workloads and schedules
- Actively participate in project reviews
- Exhibit professionalism with clients
- Work closely with multiple Project Managers and project teams
- Exercise good judgement and discretion, and independently resolve problems and issues relating to administrative project functions
- Handle client invoicing, manage collections, complete project budgets and ensure compliance with project contractual obligations
- Oversee activities of other administrative project support staff as needed
- Train and mentor project managers, project coordinators and others in team structure.
- Collaborate on a variety of specialized project-related administrative, project coordination and management functions.
Be a resource for WBG PM’s with project or financial needs.
Preferred Qualifications- Associate degree in a closely related field or combination of education and relevant experience
- A minimum of 10 years of experience; an advanced degree may offset years of experience
- Understands the scope of work to sufficiently build and status schedules, cost plans, spend plans, within a variety of project controls tools
- Excellent verbal and written communication skills including grammar, punctuation, proofreading, spelling and telephone skills
- Flexibility and ability to prioritize and handle multiple tasks and collaborate with various managers in a fast-paced environment
- Self-motivated, well-organized and detail-oriented
- Ability to handle confidential information
- Local candidates preferred
- Bachelor's degree
- A minimum of 5 years related experience
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
