The primary duties of the Office Coordinator are a variety of administrative functions for an office of professionals which include the following:

  • Assist in the composure of project documents, materials and reports.
  • Proofread project documents, materials and reports prepared by others.
  • Monitor budgets and handle specific accounting responsibilities including financial tracking of projects and basic progress reporting
  • Manage electronic and printed files in ProjectWise or SharePoint
  • Answer questions relating to company policies and procedures
  • Set up, attend and prepare meeting minutes for in person and virtual meetings
  • Coordinate and manage meeting facilities and arrangements
  • Phone coverage, reading and routing incoming mail, update office calendars, scheduling meetings, and ordering supplies
  • Professionally handle highly sensitive and confidential information.

     

  • Miscellaneous tasks/projects as requested

Required Qualifications

  • High School diploma or equivalent
  • Excellent verbal and written communication including grammar, punctuation, proofreading, spelling and telephone skills
  • Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environment
  • Self-motivated, well-organized and detail-oriented
  • Ability to handle confidential information
  • Proficiency with MS Office including Word and Outlook
  • An attitude and commitment to being an active participant of our employee-owned culture is a must
