HDR is looking for a friendly, professional, and service-oriented Receptionist to join our busy Toronto office. In this role, you will serve as the first point of contact for employees, visitors, and clients, helping to create a welcoming and positive office experience while providing administrative support to the local team.

The successful candidate will have exceptional customer service skills, strong verbal and written communication abilities, excellent organizational skills, and a proactive approach to supporting office operations. This position requires on-site attendance in the Toronto office every business day.

Key Responsibilities
 
  • Welcome employees, clients, and visitors as they arrive at the office 
  • Answer the main telephone line, direct calls appropriately, and take and deliver messages 
  • Receive, sort, and distribute incoming mail and courier deliveries 
  • Schedule and coordinate internal meetings, including ordering catering, room set-up, and post-meeting clean-up 
  • Maintain clean, organized, and fully stocked kitchens and common areas 
  • Load and unload dishwashers and oversee kitchen supplies and coffee service contracts 
  • Maintain office stationery inventory and coordinate supply orders as needed 
  • Liaise with building management regarding facilities-related issues and service requests 
  • Provide administrative support to office staff and business groups as required 
  • Complete word processing and document preparation for letters, memos, reports, labels, and other materials
  • Support special events and office initiatives as needed
  • Perform other duties as assigned


 

Required Qualifications
  • High School diploma or equivalent
  • Self-motivated, detail-oriented professional, ability to multitask a must
  • Proficiency with MS Office including Word and Outlook
  • Ability to handle confidential information
  • Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environment
  • Excellent verbal and written communication skills including grammar, punctuation, proofreading, spelling and telephone skills
  • An attitude and commitment to being an active participant of our employee-owned culture is a must
