The primary role of this position is to provide high-level administrative project support to technical staff and project managers. The primary duties require a highly energetic, detail-oriented individual who will assist the team with planning and monitoring all aspects of projects. The following reflects management’s definition of essential functions for this job but does not restrict the tasks that may be assigned.
Primary Responsibilities
- Provide comprehensive project support to a dynamic team of cross-sector professionals, collaborating with multiple project managers and project teams and demonstrating a solid understanding of project management principles.
- Support Project Managers in the local Quality Program by documenting Management and QC Reviews, updating QA/QC documentation, and assisting with the development and maintenance of project filing structures. Ensure adherence to company quality assurance guidelines and procedures for managing project documents.
- Provide expert guidance to Project Managers in developing key project plans, such as the PMP, QMP, and RMP.
- Communicate Quality Management System (QMS) updates and directives from the Quality Office to area leadership and staff as necessary.
- Provide regular reports on local QMS implementation and audit resolution strategies to the Regional Quality Director (RQD).
- Assist Project Managers in identifying and implementing best practices for their projects, as requested.
- Identify the QMS-related needs of local Project Managers and leadership, and communicate them to the Quality Office.
- Support the QMS Internal Audit during formal corporate audit cycles.
- Assist with processing and managing files for Controlled Unclassified Information (CUI) documents.
- Thrive in a fast-paced work environment with a strong reliance on remote collaboration, involving conference calls and online meetings.
- Demonstrate proficiency in basic accounting concepts, including budgeting, planning, tracking spending, and developing spending projections. Analyze accounting information, develop trend analyses, and present information effectively.
- Showcase expertise in data collection, management, analysis, and coordination using spreadsheet-based programs. Import and export data for analytics, trend analysis, and other purposes. Monitor, track, follow up, and organize large amounts of electronic documentation.
- Demonstrate understanding of fundamental project scheduling concepts, including planning multiple projects and linking predecessor and successor activities. Assist in managing, maintaining, and distributing project schedules.
- Proficiently use Microsoft Office 365 programs, particularly Excel, Word, and Project, for generating, reviewing, and collaborating on various project-related documents.
- Copy and/or scan in-house project-related documents, coordinating larger jobs as needed.
- Assist with project guides, reviews, invoices, and expense reports.
- Compose, type, format, proofread, edit, and organize documents, presentations, reports, specifications, and correspondence.

- Archive closed projects.
- Occasional travel may be required.
Preferred Qualifications
- 8+ years of experience as a Project Coordinator/Construction Administrator.
- Experience with Federal projects.
- Highly proficient in using Newforma, Procore, Revu Bluebeam, SpecsIntact, Microsoft Project and Adobe Acrobat.
- Support Project Managers in the local Quality Program by documenting Management and QC Reviews, generating and updating QA/QC documentation, and assisting in developing and maintaining the project filing structure. Apply company quality assurance guidelines and procedures for project document management.
- Provide guidance to Project Managers regarding the development of project plans (e.g., PMP, QMP, RMP)
- Communicate QMS updates and Quality Office directives to the area leadership and staff as appropriate.
- Identify QMS-related needs of Project Managers and Project Teams
- Strong preference for experience with scheduling software Primavera P6 Project Scheduling and Microsoft Project.
- Solid grasp of fundamental Accounting Principles, ensuring accuracy in financial processes.
- Demonstrates a positive response to pressure and excels in meeting tight deadlines.
- Proactively addresses challenges with expertise-based problem-solving skills.
- Exhibits precision and thoroughness, emphasizing strong follow-up in tasks.
- Manages priorities and workflow effectively, overseeing multiple projects concurrently with strong organizational skills.

- Proficient in performing diversified clerical functions and basic accounting procedures.
Due to client contract requirements, US born US citizenship is required.
